Organization Admins can invite teammates by email, one at a time or in bulk. For Staff, you can also skip the invites and share your meal calendar link, which adds new people as Staff while your Invite Security Setting is Off.
Invite teammates
1. From your dashboard, click Manage Organization, right under your organization’s name.
2. The Team Members tab lists everyone in your organization, grouped by role. As an Admin, you see an invite link for each role. To add a teammate as Staff, click Invite New Staff. Use Invite New Admin or Invite New Orderer for those roles.
3. In the Invite Team Member popup, enter their First Name and Email. The Role menu is already set to the role you picked, and you can change it here.
4. Adding several people at once? Choose Bulk Invite and paste in their email addresses (see Inviting several people at once). For one teammate, keep going here.
5. Add an Invitation Message if you like. We include it in their invitation email.
6. Click Send Invitation. We email your teammate an invitation with a Claim Invitation button. They show as (Invite Pending) on your team list until they accept. If they can’t find the email, click Resend Invite.
7. Staff can also join on their own through your meal calendar link in the Staff section. Click Copy Link to copy it. The link adds new people as Staff only while the Invite Security Setting is Off. With it On, new teammates need an email invite first.
How invites work
- Only Admins can send or resend invites. Orderers and Staff don’t see the invite links, but anyone in your organization can copy the meal calendar link from the Team Members tab.
- The meal calendar link only adds Staff. Admins and Orderers can use your organization’s shared credit cards and invoicing, so invite them by email.
- Everyone in a bulk invite gets the same role and the same invitation message. To invite people at different roles, send one bulk invite per role.
- Each invite is for one person. Once they accept it, the link in their email can’t add anyone else.
Inviting several people at once
In the Invite Team Member popup, choose Bulk Invite. Pick a Role, then paste everyone’s emails into Team Members, separated by commas, semicolons, or new lines. A list pasted from a spreadsheet works. Names are optional: write them as First Name <email@example.com>. A Bulk Invite Preview shows who you’re about to invite before you click Send Invitation.
Each organization has a lifetime limit on bulk invites. If you reach it, email support@catercow.com and we can raise it.
Sharing your meal calendar link
The link in the Staff section opens your organization’s meal calendar. Share it wherever your team already looks, like Slack, email, or your company intranet. You can also copy the same link from the sharing settings on any group order.
What the link does for new people depends on the Invite Security Setting toggle right below it:
- Off: anyone who opens the link can sign up or log in and join your organization as Staff.
- On: new teammates have to be invited by email through Invite New Staff. People already in your organization can still use the link to reach the meal calendar.
Only Admins can change this setting. If your organization only accepts work email addresses, the link also turns away emails outside your company’s domain. Invite those people by email instead.
Backup contacts
You can also add a teammate as a Backup Contact from the Team Members tab. It doesn’t give them any organization permissions. It gives us another person to reach about things like delivery issues if we can’t get a hold of you.
Frequently asked questions
What’s the difference between inviting Staff by email and sharing the link?
Both add the person as Staff. An email invite goes to one specific person. The meal calendar link works for anyone who has it, and only while your Invite Security Setting is Off, so a link shared in a public Slack channel can reach people outside your team.
Why can’t Orderers and Admins join through a public link?
They can use your organization’s shared credit cards and invoicing, so we ask you to invite each one by email. That way, nobody you didn’t mean to add can place orders on your organization’s behalf.
My teammate hasn’t accepted their invite. Can I resend it?
Yes. On the Team Members tab, anyone who hasn’t accepted is marked (Invite Pending). Click Resend Invite on their row to send it again. Once they accept, Resend Invite goes away.
Why can’t my teammate see the meal calendar?
Check that they’re listed on the Team Members tab. If they’re not, send them your meal calendar link. While the Invite Security Setting is Off, opening it adds them as Staff. If it’s On, an Admin needs to invite them with Invite New Staff.
